Summary of a business meeting
The meeting I attended was about setting priorities for yourself and for the company, all the employees were present.
One of my company coaches lead the meeting and asked us to write down 3 things we want to improve at the company. Then we did a round of what everyone wrote down and why we should work on that. My company coach wrote everything down on a whiteboard so that we wouldn’t forget.
Next we wrote down what our own priorities should be and what our tasks were - and prioritize those for ourselves.
The last thing we wrote down were 3 obstacles that kept us from finishing those tasks.
We all listed the tasks that needed to be done and the obstacles that kept us from doing these, and wrote them on a whiteboard. We categorized them in: New Business, Systems to handle (new & old), and Marketing. This way we would have a good view on what tasks should be where and done by who.
Caplinq uses a program to list all their tasks in and the progress on a task; Asana, but not everybody was using it in the same way. On the site you have Projects, and we figured that you can give every project a leader, to manage the tasks of the people that are part of the project. (see picture on the right)
Every employee got his/her own project to manage, or more than one. Except for me and Jonathan - the other intern - because we wouldn’t be able to manage a project all by ourselves, we are part of some projects though.
We also discussed on how we should work with Asana better together, because some of us were only using it as a reminder for themselves, kind of like a notepad. So that is also a reason why we now have the projects and the project leaders so that everybody works properly with Asana. Now when someone gets a task, they will have a good explanation in the comments with it, so that they know exactly what to. Before, someone would get a task with a quick description, but then we missed information and eventually we still needed to ask about what the task precisely was, which is not how Asana should be used.
After that was settled, we went over what everybody was working on right now. Everybody got asked if they needed help with that or if they had any questions.
In this meeting it was also agreed that there should be a weekly meeting to see how far everybody is with their tasks, just 5 minutes per person instead of an hour and a half with everybody. These would be on Thursdays. After that was agreed with everybody we could work further with our tasks.
