Meeting Minutes

For the meeting minutes, I took the same meeting as I did with English; where we prioritized our tasks and what we wanted to improve within the company.

There was not someone in particular that wrote down the notes, because everybody always has a notebook with him/her to write down the most important things that were said.

 

The way Caplinq has meetings differs from what kind of meeting it is going to be. If it is going to be a meeting with all the colleagues working in Krommenie it can just be in their meeting room and discuss whatever topic. But if it is going to be a meeting with customers that are in China or the USA etc. it will be a meeting through Skype or another app like it. That is a less personal way of having a meeting but it is a lot cheaper than to fly to China and have an hour long meeting, obviously.

 

The meeting was very satisfying because we fixed a problem within our company, and I think that I speak on behalf of all the employees that it was satisfying to have this meeting. Now we all have a clear understanding on how Asana works and how we are working with it as a team.

It was very structured, my company coach did some work beforehand to have a good planning in the meeting, that is also why he lead the meeting. A week before the meeting was taking place, he send out an email to all the employees to inform them on what we were going to talk about so that we could prepare a little bit, so the content was all understood by everybody.

 

In the meeting there were people talking in both active and passive voice, for example, there was said that ''The invoice was made by Jessica'' or things like ''Chris called the customer about that'', so those are both active and passive sentences. ooehh

 

As there was not one person who wrote down all the notes, I can't say there were any weaknesses. My company coach did write down all the important stuff on the website, so I would say that everything that was really necessary was written down on the board. And then we could write down the things we thought were important on our notebook.

The weakness of doing that is that not everybody has the same notes to see later, when the meeting is over. Another weakness is that not everyone will have the same information. Someone could be missing an agreement two people made in-between the meeting for example.

 

Reflection:

Level of detail:

I can't speak for everybody on this one, but I think I wrote down my notes very well. A week after we had the meeting I can still tell someone what was done, agreed and said in the meeting even to someone who has not attended the meeting.

Formatting:

I wrote down my notes quite messy, but when the meeting was over I rewrote them in such a way that they were organized and clean. I saw the notes of other people that were at the meeting and they immediately wrote down the notes neat and clean to read for other people.

Structure/ordering:

The agreements that were made with all the colleagues, were obviously written down by everybody, because you can forget what you exactly agreed upon. But some agreements were only between my coach and another colleague about the packages and orders, so I wouldn't write that agreement down because I have nothing to do with that and it would only make my notes even messier.

For my notes I wrote it in an active writing style, because that would be more clear for me.
